Event photographs have a short shelf life. The window where they're genuinely useful, while the event is still being talked about, is often measured in hours, not weeks. That's why turnaround is worth as much attention as the photography itself.

At a glance

  • Event coverage loses value fast — the news window is hours, not days.
  • Press and social teams need images while the event is live or immediately after.
  • Same-day delivery has to be planned in advance, not requested on the night.
  • A smaller, well-chosen same-day set beats waiting for the full gallery.

Why speed matters more than people expect

If your event is worth photographing, it’s usually worth talking about publicly — and that conversation happens on the day. Journalists file quickly, delegates post while they’re still in the room, and internal comms want something before everyone goes home. Images that land three days later have missed most of that.

Who actually needs the images quickly

Usually three groups. Press and PR teams, who may have a deadline that evening. Social and marketing, who want to post while the hashtag is still active. And internal communications, who often want something for an all-staff email or intranet the next morning. Knowing which of these applies shapes what gets prioritised.

A selected set delivered the same day is usually worth more than the full gallery a week later.

How same-day delivery actually works

It isn’t magic, it’s planning. We agree in advance roughly how many images you need and what they’re for. I edit on location between sessions rather than waiting until the end, and a selected set goes to a private gallery you can download from immediately. The complete edited gallery follows afterwards in the usual way.

What to agree beforehand

Three things: how many images you need in the fast set, who receives them and how, and what the absolute deadline is. It’s also worth agreeing which moments are non-negotiable for the quick turnaround — usually the keynote, the award, and a strong wide shot of a full room. Everything else can wait for the full gallery.

When you don’t need it

Not every event does. If the images are for a brochure, a case study or next year’s marketing, a normal turnaround is absolutely fine and there’s no reason to pay for speed you won’t use. Same-day is a tool for time-sensitive events, not a default. If you’re not sure which yours is, that’s a good thing to talk through — it’s part of how I plan event photography with clients.
